Staff accounts for online store teams

WebRank lets the owner add staff logins and choose what each person can open. Use a ready role or a custom list of areas.

Quick facts

  • Five roles: Owner, Manager, Editor, Support and Custom.
  • Custom roles tick exact admin areas.
  • Only the owner adds staff or changes access.
  • Starter allows one staff login by default.
  • Pro allows unlimited staff logins.
  • Starter is Rs 4,999 per month.

Roles you can give

RoleAccess
OwnerEverything, including Settings and Team
ManagerEverything except Settings and Team
EditorProducts, collections, files, blog, menus, pages, reviews, discounts, Live Build
SupportOrders, customers, reviews, shipping and blocked list
CustomOnly the areas you tick

Custom access

For a Custom person, tick areas in groups: sales and orders, numbers, catalogue, marketing, content, website and design, and admin. Anything not ticked is hidden and blocked.

  • Developer preset: design, apps, checkout, domains, files, pages, menus, blog.
  • Order booking preset: orders, drafts, customers, shipping, couriers.
  • Hide Accounts, Reports and Dashboard from staff who should not see money.

Managing the team

  • Add a person with name, email, password of 8 or more characters and role.
  • Give an optional job title.
  • Change a role or reset a password later.
  • Remove a person who leaves.
  • See each person's last sign-in time.

There must always be one owner, and you cannot remove your own account.

Limits

There is no store-wide activity log, though order timelines record some actions. There is no two-step sign-in for staff. Access is by area, not by single action, so someone who can open Orders can edit orders.

By default Starter allows one staff login besides the owner. The Pro plan removes that limit.

Who needs which role

Match the role to the job. A small team usually needs only three kinds of access.

  • A packer or order booker can use the Order booking preset, so they see orders, customers and couriers only.
  • A content writer can be an Editor, who works on products, blog and pages but cannot open Settings.
  • A part-time helper who answers buyers can be Support, who handles orders, customers and reviews.
  • A developer can use the Developer preset without seeing sales.

Give each person their own login. Shared passwords make it hard to know who did what, and you must change the password whenever someone leaves.
